About The Role

Job Outline:
Working as part of Middlesbrough Football Club Foundation’s Administration and Finance Team, the role will provide efficient and professional support across a range of functions. This includes managing bookings and enquiries, supporting recruitment and HR processes, coordinating travel and events, and ensuring the smooth running of day-to-day office operations.


The role is central to maintaining effective systems and communication, enabling colleagues across the Foundation to deliver high-quality programmes in line with our mission.

Role Specific Responsibilities Include:

  • Handle telephone enquiries, bookings, and payments
  • Manage booking systems using online platforms and Microsoft Excel
  • Monitor shared inboxes and respond to enquiries promptly
  • Support recruitment processes, including processing applications and coordinating candidate interviews
  • Process internal requests for complimentary matchday tickets and other experiences
  • Arrange travel and accommodation for employees
  • Maintain and update the events calendar
  • Distribute and monitor employee kit
  • Manage office supplies and stock levels
  • Provide administrative support to the Management team, including occasionally at our Herlingshaw site
  • Administrative Support to the Senior Leadership Team
  • Ensure compliance with safeguarding, data protection and health & safety standards, undertaking training as necessary
  • Promote inclusive practices, adapting resources to ensure equal opportunities for all
  • Carry out other ad hoc tasks as required

Essential

  • Previous administrative work, ideally in a busy office or customer-facing environment
  • Liaising with customers by telephone, email, and in person

Desirable

  • Charity sector or similar environment
  • Managing booking systems
  • Handling payments, including by telephone

 Qualifications

Essential

  • Strong written communication skills (e.g. GCSE English and Maths or equivalent)

Desirable

  • IT-related qualifications (e.g. ECDL, Microsoft Office certifications)

 

Specific Skills and Knowledge

Essential

  • Excellent verbal and written communication
  • Confident IT skills, including Microsoft Outlook, Word, and Excel
  • Good time management and organisation
  • Ability to work under pressure and meet deadlines

Desirable

  • Advanced Excel skills (e.g. formulas, pivot tables, reporting)
  • Understanding of safeguarding principles
  • Familiarity with GDPR and handling sensitive data

 

Additional Requirements

  • Eligibility to work in the UK
  • Successful completion of a basic DBS check (arranged by the Foundation)
  • Willingness to travel between Foundation sites

  • Full UK driving licence with access to own transport (including business insurance)

Successful applicants will be required to undertake a Disclosure & Barring Service (formerly CRB) check and are required to declare any convictions, cautions, reprimands and final warnings that are not ‘protected’ as defined by the Rehabilitation of Offenders (Exemptions) Act 1975. The successful applicant will not be able to start working for the Foundation until the DBS check has been completed.

The Foundation will also seek the successful candidate’s consent for obtaining two written references and to ask for documentary proof of qualifications and right to work in the UK. Any offer of employment will be conditional on these being satisfactory.

Once in post, all new staff will receive a comprehensive safeguarding induction from our Designated Safeguarding Officer, as well as ongoing safeguarding training.
