About The Role

We are looking to recruit an Academy Operations Manager, to be a part of a forward-thinking team responsible for providing administration support and managing the day-to-day football business of our Women’s Academy, whilst providing support to the Academy Manager and relevant internal departments on club-wide football administration matters.

Please note this job role requires frequent evening and weekend work and travel to home and away fixtures.

Main Responsibilities

  • Manage the day-to-day operations of the BCWFC Performance Pathway (PGA & ETC) while enabling coaches to deliver a positive experience to be proud of and attractive to players and parents/carers
  • To assist the Academy Manager in ensuring the PGA & ETC is run within budget and meets the FA’s PGA & ETC licence criteria
  • Ensure centre logistics are effective and efficient, and communicated to players, parents/carers, and staff. Ensure any changes are communicated quickly.
  • Deal promptly and efficiently with any issues which could impact on the smooth delivery of the Performance Pathway activity
  • Have a deep and detailed knowledge of the FA’s licencing criteria for PGAs & ETCs, & ensure the pathway’s ongoing adherence to them
  • Work collaboratively with other key external football stakeholders (e.g., Parents/Carers, County FA, Local competitive and community clubs, academies, and schools)
  • Share best practice and ideas both internally & externally – working well with other Academies
  • Seek feedback from others, and reflect on personal behaviour and performance to identify areas for improvement
  • Create and maintain a personalised Development Action Plan (DAP), taking input and feedback from a variety of sources
  • Attend CPD events and undertake CPD activities in line with identified development themes
  • Work with the Bristol City HR department to monitor the renewal of staff qualifications, onboarding of new staff as well as ensuring timesheets are submitted in conjunction with the Club's HR and Finance departments.
  • To support the Academy Manager with additional administrative support as required
  • Liaise with the First Team Kit Manager to ensure all players and staff have the appropriate kit and equipment to operate effectively
  • Co-ordinate events such as staff, player or parent workshops, player review meetings, trips, and end of season award evenings
  • Oversee the management of player registrations, squad cap and to ensure completion of match day data on Full-Time/ IFAS / JPL Gotsport systems
  • Be present at training and matchdays
  • Manage the administration process and support the delivery of the department's player recruitment process through the management of all trialists and annual trials
  • To produce and manage all key Academy information, documentation and statistics
  • Collaborate with the safeguarding lead to ensure appropriate safeguarding updates across the women and girls pathway.
  • Work closely with the finance department to manage the budget allocated for the academy, ensuring efficient use of resources.
  • Collaborate with the Academy Manager to identify areas for improvement and innovation within the academy structure.
  • Develop and implement initiatives to engage with the local grass root clubs to promote the academy and its values.
  • Explore opportunities for community partnerships and outreach programmes.
  • Explore and implement technology solutions to streamline administrative processes, enhance communication, and improve overall efficiency within the academy.
  • Be an advocate and guardian of the women’s game.
  • Any other duties as deemed necessary by your Line Manager or BCWFC Board.

About The Candidate

Qualifications /Requirements

Essential:

  • Valid FA Safeguarding Children Certificate or equivalent
  • Valid DBS
  • FA Level 1 Introduction to First Aid in Football (IFAiF) or FA Emergency First Aid
  • Knowledge of The FA’s Girls Talent Development structure and pathway
  • Experience of working in a similar role within a football academy or other high performance sporting environment.
  • Experience of working within a football administration environment at club, league or national level
  • Understanding of the club’s commitment to EDI & Safeguarding
  • Be a team player
  • Ability to adapt to change
  • Excellent written and verbal communication skills
  • Excellent organisational and time management skills
  • Full UK driving licence to travel to various locations due to the demands of the role

Desirable:

  • Accountancy qualifications
  • Football coaching qualifications
  • Association of Project Management (AMP) qualifications.
  • Understanding of player registrations, and the retain / release of players
  • Understanding of matchday procedures for youth football games and programmes
