The EFL is looking for a organised and detail oriented Senior People Administrator to work within our People Team. The role will operate out of our Preston office and will help to administer and support the People Team and wider EFL/EFLitC.
JOB OUTLINE
Reporting into the Director of People, the Senior People Administrator will develop and maintain all areas relating to the administration of the people processes within the EFL and EFL in the Community (EFLitC).
KEY RESPONSIBILITIES
- Develop and continuously improve all people administrative processes and operations for both the EFL and EFLitC ensuring they are accurate, user friendly, timely and efficient
- Develop and maintain the EFL/EFLitC core HR system, currently People HR, to ensure it is up to date, accurate and being used to its full potential
- Produce reports from People HR and, using Excel, manipulate data into graphs, dashboards and summary information to support the delivery of KPIs
- Collaborate with the People Officers’, create and update standard templates and processes for all HR related areas such as recruitment, onboarding, induction, learning & development, employee benefits, case management, changes to terms and conditions and offboarding
- Manage the provision of the people policies – maintaining the tracker, formatting content and launching the policies through the intranet
- Act as SharePoint lead for the People Team - communicating changes and important news to the organisation
- Support compliance and audit readiness by maintaining accurate, legally compliant employee records and assisting with data preparation for audits or inspections
- Maintain accurate note taking at meetings
- Support team financial administration, including administer invoice sign offs and service contract renewals Sending invoices to the relevant people within the team and maintaining accurate record keeping
- Own and maintain the production of the organisational charts for each department and the wider organsiation
- Monitor the People inbox day-to-day, answering and resolving queries where possible and directing and signposting to relevant members of the People Team when required
- Update and maintain the People Team diary - helping the team to keep the pace on projects through communication and organisation of together time
- As part of the People Team, develop and update relevant trackers
- Work on ad hoc projects as required, recognising gaps and improvement areas within the way we work whilst driving the team to improve efficiency and resourcefulness
- Be the point of contact for general queries, both internal and external, signposting as needed
- Coordinate tracking and reminders for mandatory training and settling-in (probation) periods, ensuring completion and documentation are kept up to date
