About The Role

Job Title: Academy Secretary
Location: Portsmouth Football Club Academy and other PFC site as required
Remuneration: £24, 000 for your working pattern (30 hours/week).
Hours of work: 30 Hours per Week, Monday, Tuesday, Thursday & Friday (9.00am – 4.30pm). Exact schedule to be agreed.

Portsmouth Football Club is looking for a highly organised and proactive Academy Secretary to join our team in this 30 hour per week role.

Working closely with colleagues across the Academy, you will play a key role in supporting the day-to-day administration of our Academy. From coordinating player registrations and fixtures to supporting governance, compliance and Academy events, you will help ensure operations run efficiently, professionally and in line with requirements.

You will work in a professional football environment, supporting the development of young players while collaborating with experienced colleagues across the Academy.

Key Tasks
What you will be doing
  • Coordinating Academy player registrations, trials, scholarships and player movements.
  • Maintaining accurate player records and Academy databases.
  • Supporting the planning and administration of Academy fixtures, tournaments and events.
  • Liaising with opposition clubs, governing bodies, match officials and service providers.
  • Coordinating travel, accommodation and operational arrangements for Academy activities.
  • Supporting compliance with Premier League, EFL, FA and EPPP requirements.
  • Maintaining Academy operational records, documentation and reporting deadlines.
  • Organising Academy meetings, preparing agendas and taking minutes.
  • Supporting safeguarding administration, consent forms and compliance documentation.
  • Providing professional administrative support across all Academy departments.
  • Attending designated Under-18 home fixtures as part of your contracted hours.
  • Undertaking any other reasonable duties as required.

  • Professional, proactive and approachable.
  • Comfortable working independently whilst contributing as part of a wider team.
  • Experienced in an administrative or office-based role.
  • Confident using Microsoft Office and database systems.
  • Able to manage confidential information with discretion.
  • Flexible and willing to adapt to the changing demands of a professional football environment.
  • Previous experience within football, education or a sporting environment would be advantageous, although not essential.
