About The Role

Job Summary

To lead on all Academy player, team and matchday administration; as well as support the logistics and operational delivery of the Academy Performance Plan.

Player and Trialist Administration

  • Facilitate and deliver the registration and re-engagement of all Academy Players in all age groups: including all player contracts and parent/guardian communication, registration, fixtures and travel co-ordination and compliance with external league(s) and EFL/FA rules and regulations.
  • Oversee and lead the administrative requirements for FP, YDP, PDP tours and tournaments.
  • Be the point of contact for parents regarding any Academy administrative queries.
  • Cover the role of senior Academy official at scheduled home games for U18. Regular attendance at Academy fixtures at our designated training centres will also be required.
  • Advise payroll on matters relating to players remuneration, including bonuses and the recording of effective contract changes and triggers.
  • Act as the super-user for the Academy Football Intelligence system, aiding both staff and players manage any associated issues and continued developed of the software.
  • Lead on ensuring each trialist entering the Academy structure has been presented with the relevant documentation before the commencement of their trial period and are inducted into the Academy appropriately.
  • Lead in booking travel, transport, and accommodation for local, national and overseas trialists.
  • Lead in the production of the required documentation for TMS international clearance data.
  • Assist with scout requests in line with Club and Academy protocol and League rules.

    Academy Administration

  • Provide support to the Academy Manager in areas such as: diary management, minute taking and day to day running of the Academy programme
  • Collate all Academy staff timesheets, expenses, purchase orders, receipts, and invoices for managerial authorisation, and manage the petty cash process.
  • Liaise with and support the Academy leadership team in respect of the smooth running of daily Academy operations.
  • Lead in the production and on-going attainment of audit criteria including use of any Audit Tools.
  • Liaise with Academy and Football Administration staff for updates on news, fixture information and locations, and with Media so that they can update the website with relevant information.
  • Keep up to date with knowledge of current legislation and policies, communicating key changes to staff as appropriate.

    Any further duties as required by the Academy Head of Player Development and the Club Head of Football Administration within a multi-disciplinary approach.

  • This role requires an Enhanced DBS Check due to the nature of the work.

About The Candidate

Qualifications/Experience/Knowledge

  • At least 2 years experience in a similar role with experience of working with football regulations and authorities
  • Knowledge of the Elite Player Performance Pathway (EPPP) and Youth Development (YD) rules
  • A current FA Safeguarding Children Workshop Certificate (or willingness to complete within 1 month of appointment)
  • Ability to meet the travel needs of the post (which includes travel across the UK and occasionally overseas)

  • Strong organisational skills and competent in administrative duties (excellence in report writing and minute taking is essential).
  • Outstanding communication skills with a view to being able to speak with parents, coaches, players and contacts
  • Driven to achieve deadlines, organise and prioritise workload effectively, and continually review ways of working to improve efficiency and effectiveness.
  • Enthusiasm for the role and a proactive thinker who always looks for opportunities to improve and enhance their own practice
  • A dynamic, hardworking individual that is able to relate to all staff members and participants engaged in Academy activities
  • Is receptive to feedback about own behaviour, strengths and areas for improvement that identifies improvement strategies relating to Academy activities and their own practice
  • Displays a high level of confidentiality and transparency and is able to contribute to team meetings in a professional manner
  • Flexible approach to meet the nature and demands of the business
