About The Role

Role Purpose
The Academy Administrator is responsible for all administrative matters relating to the Academy U9-U15 age groups and providing administrative assistance to the Academy Management Team (AMT).
 
Main areas of responsibility
  • To oversee the effective arrangement of all fixtures for the U9-U15 Academy teams and to ensure that the liaison with opposition clubs, in relation to logistical details including, but not limited to, venue arrangements, kick off times, formats, travel requirements, accommodation, kit and administration, is efficient and professionally handled.
  • To lead all processes in relation to administrative, registration and regulatory requirements with the EFL and FA, and to liaise closely with the Head of Academy Operations to ensure that all governance issues are satisfied.
  • To ensure that the process of paying match officials for all Academy U9-U15 fixtures is efficient and effective.
  • To liaise regularly with the finance department with regards petty cash and ensure the reconciliation is done efficiently with all receipts returned promptly to the finance team.
  • Manage the Academy complimentary ticket allocation for the First Team fixtures at the Toughsheet Community Stadium.
  • To manage the organisation of the Academy games programme (U9-U15 age groups) and ensure effective communication with all relevant internal and external stakeholders.
  • To liaise closely with the Academy Head of Recruitment, the Head of Academy Operations and the Academy Manager in respect to all matters relating to the recruitment, registration and release of players.
  • To liaise closely with the Academy Head of Education and Head of Player Care in respect of all administrative and logistical arrangements required to deliver a comprehensive Education and Welfare programme.
  • To liaise with all Lead Phase Coaches and Head of Coaching regarding the effective planning and distribution of the Academy Weekly Schedule to all relevant stakeholders.
  • To develop and maintain the Academy Player Database and filing systems in accordance with data protection.
General Responsibilities

Essential Requirements
 
Qualifications
  • FA Safeguarding Children qualification.
 Experience
  • Experience of working in a professional football academy environment.
Knowledge, Skills and Qualities
  • Excellent ICT skills and demonstrable administration experience.
  • Committed, enthusiastic and passionate about Bolton Wanderers Football Club.
  • Highly organised, pragmatic and able to work to tight deadlines.
  • Ability to work as part of a team as well as using own initiative.
  • Excellent communication skills, to effectively converse with players, parents and fellow staff members at all levels.
  • Able to adapt to the demands of the job and needs of the players/coaches.
Desirable Requirements
 
Qualifications
  • Certificate in Football Administration. 
 Experience
  • Knowledge of EPPP requirements and audits.
