About The Role
MAIN RESPONSIBILITIES
• Act as lead administrator for all age groups including but not limited to, fixture details, fixture arrangements, travel coordination, parental communication, scholarship agreements and compliance with external league(s) & EFL /FAW/ FA rules and regulations.
• Cover the role of senior Academy official at scheduled home games for U18. Regular attendance at Academy fixtures at our designated training centres will also be required.
• Maintain all department filing systems, with specific responsibility for player files.
• Act as the super-user for the Academy Football Intelligence system, aiding both staff and players manage any associated issues and continued developed of the software.
• Provide support to the Academy Manager in areas such as: diary management, minute taking and day to day running of the Academy programme.
• Liaise with and support the Academy leadership team in respect of the smooth running of daily Academy operations.
• Lead in the production and on-going attainment of audit criteria including the CASA Audit Tool.
• Assist the HR Department in ensuring that HR files are up to date and a record is maintained of all staff qualifications.
• Collate all Academy staff timesheets, expenses, purchase orders, receipts, and invoices for managerial authorisation, and manage the petty cash process.
• Oversee and lead the administrative requirements for FP, YDP, PDP tours and tournaments.
• To be the point of contact for parents regarding any Academy administrative queries.
• Liaise with Academy and Football Administration staff for updates on news, fixture information and locations, and with Media so that they can update the website with relevant information.
• Keep up to date with knowledge of current legislation and policies, communicating key changes to staff as appropriate.
• Monitor orders and distribution of all Academy stationery requests.
• Lead on ensuring each trialist entering the Academy structure has been presented with the relevant documentation before the commencement of their trial period and are inducted into the Academy appropriately.
• Lead in booking travel, transport, and accommodation for local, national and overseas trialists.
• Lead in the production of the required documentation for TMS international clearance data.
• Assist with scout requests in line with Club and Academy protocol and League rules.
• Willingness to attend training courses including Safeguarding and Equality and Diversity.
• Any other duties as requested.

• This post is subject to an Enhanced DBS Check (with Childrens Barred List).

About The Candidate
EXPERIENCE/QUALIFICATIONS REQUIRED
• At least two years in a similar role.
• Knowledge of Elite Player Performance Pathway (EPPP) and Youth Development (YD) Rules and experience of working with football regulations and authorities.
• Understanding of safeguarding processes.
 
PERSONAL SPECIFICATION – SKILLS / ABILITIES REQUIRED
• Proficient IT skills.
• Experience of report writing and taking meeting minutes.
• Experience in player registrations, including ITC, schoolboy forms and scholarship forms.
• Driven to achieve deadlines, organise and prioritise workload effectively, and continually review ways of working to improve efficiency and effectiveness.
• Demonstrable skills and abilities in an administration capacity.
• Excellent interpersonal and communication skills with the ability to form strong relationships with players, parents, colleagues, and officials.
• Ability to work under pressure in a fast-paced environment.
• Ability to manage own workload and meet deadlines.
• Flexible attitude towards working hours and available on weekends and evenings.
• Strong team-working skills.
• Shows initiative, has confidence in own ability with a positive attitude towards undertaking any aspect of the job role.
• Displays no prejudice when working with others.
