About The Role

As Academy Matchday Coordinator, you will support the Operations and Administration Department with the matchday coordination of Academy fixtures (U7-U21). You will act as the main point of contact on a matchday for all visiting guests and Birmingham City staff, players, and parents, whilst promoting the the Academy culture and creating an elite environment for the development of young players. You will also monitor the wellbeing of Academy players at all times, liaising with the Club Safeguarding Team.

 

Key Responsibilities:

  • Provide administrative and operational assistance to the Head of Academy Operations and Administration to effectively coordinate Academy matchdays.
  • Set up all relevant changing rooms to be in use for the fixtures taking place on each matchday.
  • Display all ‘matchday logistics’ information sheets around the Training Ground for fixtures, and update notice boards with pitch and changing room allocations for all teams.
  • Coordinate parking available for any team coaches, away team support staff and match officials.
  • Ensure pitches in use for fixtures are safe and an appropriate level of seating is available to players and staff from both teams.
  • Meet and greet all match officials upon arrival and ensure they are made to feel welcome at the venue.
  • Liaise with the Referee Coordinator and Academy Football Administrator for any late changes to match official appointments.
  • Meet and greet all visiting team players, staff and parents and direct people to the appropriate places.
  • Ensure any spectators are aware of the relevant facilities available to them and know where they are able to observe fixtures.
  • Monitor adherence to the player and parent code of conduct in place at the Academy.
  • Meet and greet all visiting scouts, ensuring that accreditation is checked with matchday stewards and that they are escorted to the appropriate section of the venue to view the fixture.
  • Coordinate the exchange of team sheets between Head Coaches and captains, and distribute to spectators and scouts for any U18 fixtures.
  • To support the matchday co-ordination for U21 fixtures as and when requested.

About The Candidate

Essential Requirements:

  • GCSEs (grades 9-4 or A*-C) or equivalent; A-Levels or degree preferred.
  • Experience in administration or operations, preferably within sports or events.
  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office, particularly Excel.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Comfortable working with football regulations and event coordination.

 

Desirable Requirements:

  • Previous experience in event organisation or sports administration.
  • Knowledge of football-related regulations and operations.

  • Able to think ahead, problem-solve, and work on your own initiative.
  • A positive, approachable attitude with strong relationship-building skills.

 

Terms & Conditions:

  • Casual contract with hours to suit the needs of the business, typically on weekends (Saturdays and Sundays) with occasional midweek requirements.
  • Applicants will need to complete a DBS check and reference checks.
